  • The human positions you’ll need to oversee your AI operations

With the power of AI in your workflow, you can build an exceptional and high performing team of ‘digital agents’ that will help you to stay ahead of the competition and remain at the forefront of innovation. I will be taking you through the crucial steps you will need to find the perfect balance of AI automation and human oversight so your team can focus on strategic, relationship building and revenue generating activities.

The Essential Team Members

1. Sales

Your AI sales agent will be tasked with conducting lead generation, engagement and outreach of your prospective clients. This implementation will form an important part of your business machine and enable you to increase your digital manpower beyond your human headcount, without increasing the size of your physical team. A successful sales campaign will eventually lead to requiring increased capacity in other areas of the business, this leads on to the next stage of phasing in your AI real estate team, customer service.

2. Customer Service

Your customer service agent will be responsible for client communication including answering client questions online, responding to e-mail enquiries, scheduling viewings and being the go-to knowledgebase for your organisation. This agent can come in the form of a chatbot, a self-service knowledgebase or a custom internal AI application.

3. Admin

The Admin agent will be tasked with filling in forms, generating documents and contract templates, updating your CRM and handling automated data entry tasks. This agent won’t necessarily have an interface but will operate in the background of your everyday applications.

4. Valuations

The Valuations agent will give your clients an accurate and detailed property valuation based on 100s of data points and is backed by a tried and tested automated valuation model.

5. AI Operations Manager aka The Human

This person oversees all the AI systems and processes in your business. They are a technical expert and will ensure errors and bugs are fixed, monitor information output and ensure a smooth-running AI operation.

How to integrate AI into your team operations

Start off by talking to your team, assess their current processes step by step to identify areas where there are inefficiencies, repetitive tasks or the need for in depth data analysis. Consider starting in areas involving lead generation, valuation, marketing and low complexity customer service.

The next step is to document each process. Use a tool like Scribe to create an instructional operations manual of current tasks. You’ll then have a step-by-step log of each task, which you can use to map the business process and implement your AI solution.

The last thing you need to do is research to find the best AI Tool for the job. Explore all of the best AI tools available to solve or build a solution for your problem. Review the pricing, scalability, security, and features. Ensure the solution you choose is compatible with your internal tools for easy integration.

Finally, review compliance documentation for the tool to ensure you are following industry specific rules applicable to your profession including realtors, surveyors and real estate financiers.

To Sum It Up

Incorporating AI into your real estate team is no longer a luxury; it is a necessity in today's competitive market. To effectively integrate AI into your team, it is essential to identify areas of improvement, research AI solutions, choose the right tools, train your team, and continuously monitor and evaluate performance. Upskilling your team for AI adoption is equally important, as it ensures they have the necessary skills and knowledge to leverage AI effectively.

While implementing AI may present challenges, such as data quality, integration issues, ethical considerations, resistance to change, and cost considerations, these can be overcome with conscious planning and consideration.

By embracing AI, you can build an exceptional real estate team that stands out from the competition, maintains and improves customer satisfaction, and achieves remarkable results.
