How to Figure out Where to Implement AI
A mistake companies often make is that they try to automate their most complex processes from the very beginning. Although this may seem like a viable approach, it is a huge undertaking which requires multiple levels of expertise including AI engineers, consultants, product managers and legal.
Your technical team will end up being buried by scope, your employees may think you’re trying to replace them and by the time you actually have a tangible new system to launch 6 months to a year later, AI technology has advanced and your original use case becomes null and void.

The best way to approach implementation is to keep it simple and break existing processes up into small, manageable tasks.
Here’s what you need to do:
Assess your current business processes
Get a clear picture of hour your real estate business operates today. Map out your current workflows, identify tasks that take up the most of your team’s time and keep a record of bottlenecks that repetitively hold up deal progression. This first step is the foundation.
Map everything out at a granular level
Make a list of the main tasks each team member handles, include everything from call handling, answering customer emails (specify the type of emails), report generation, scheduling viewings and following up on new instructions. Get all of this information down and break down the steps as much as you can.
Identify time intensive tasks
Review the document you’ve created and rank them in order of time intensity and repetition. The tasks at the top of this list will be the ones you automate first.
How to Implement with Your Team’s Support
Managing a big change to systems and technology in the way that garners team support can be a challenge. Data shows that 36% of employees are already fearful that AI will take their job in the near future. With this in mind, it’s imperative to address this concern before launching any new initiatives.
Here are a few ways you can approach this:
Automate the boring tasks with AI first. This will free up your team to focus on tasks that require human empathy, discernment and critical thinking. The immediate relief of no longer having to handle the repetitive and mundane tasks can increase team morale and trust in management decisions when it comes to AI.
Consult your team along the way. Find out which tasks they dislike doing the most and reinforce the value they add to areas of the business where relationship building, humans oversight and involvement is essential.
Upskill your team. Include upskilling and training in your AI implementation plan. When new automations are introduced, they will need to be familiar with the AI systems capabilities and limitations and the role they play in moderating it’s output. For example, if you implement AI Property Valuations , your in-house expert will be required to review the report and ensure its accuracy.
Choosing the Right Tools for the Task
When selecting tools for automations, start by looking through the Property AI Tools directory and shortlisting the most suitable products.
My personal favourites for automation include:
Mindstudio: Enables you to harness the power of AI automation, enabling you to create custom, intelligent AI applications, optimise workflows, and streamline tasks across your organization.
Stack AI: Is an intuitive platform for building custom AI assistants, chatbots, and workflow automations - all without needing to code.
Bardeen: Bardeen empowers businesses to automate tasks, integrate seamlessly with existing tools, and unlock the power of cutting-edge large language models (LLMs).
Conclusion
Implementing AI in your real estate business is a step-by-step journey requiring continuous improvement and innovation. By setting clear objectives, getting the support of your team and trialling reliable tools, you put yourself in the best possible position for success.
As you progress in your AI adoption journey, remember to keep your business flexible as the market changes and technology advances. Every improvement made with AI has the potential to build confidence in your brand or destroy it, so it’s very important to approach this change consciously and with a solid strategy.
